Accounts Payable Clerk

We are currently accepting applications for a skilled Accounts Payable Clerk. This one-person department is responsible for processing all invoices received, and processing payment of all creditors in an accurate, efficient, and timely manner.

Responsibilities:

  • Process accounts and incoming payments in compliance with Hallmark financial policies and procedures
  • Perform day to day financial transactions, including verifying, classifying, posting and recording accounts receivables' data
  • Prepare bills, invoices, and deposits
  • Reconcile the accounts receivable ledger to ensure all payments are accounted for and properly posted
  • Verify discrepancies and resolve billing issues
  • Facilitate payment of invoices due, by sending bill reminders and contacting vendors
  • Generate financial statements and ad hoc reports detailing accounts receivable, as requested

 Skills:

  • Proven working experience as accounts payable clerk or similar role
  • Solid understanding of basic bookkeeping and accounting payable principles
  • Ability to calculate, post and manage accounting and financial records
  • Data entry skills; hands-on experience with spreadsheets and proprietary software; experience with Sage/Peachtree Accounting preferred
  • Proficiency in Microsoft Office programs
  • High degree of accuracy and attention to detail

Job description:

  • Dual reporting - provides administrative support for educational departments under the Director of Education, and the Assistant Administrator. Education:
  • Maintains accurate, up-to-date database of all teaching staff licensures.
  • Maintains Student Handbook, and Parent Handbook, database information of former and current students, department filling system, and incoming and outgoing mail.
  • Creates user-friendly macros, templates, forms, and toolbars for the Education Department staff.
  • Assists the Director of Education with travel arrangements, filing, typing, correspondence, note taking, scheduling resident appointments, and creating files for new students.
  • Clinical: Schedules and completes resident psychological assessments, and family engagement activities.
  • Completes resident Assessment and Diagnostics (A&D) reports, gathers clinical resident data, and prepares additional reports as directed, responsible for preparation of quarterly medical meeting staff notes.

Required Experience:

  • Three years or more of professional experience working in an office or clinical environment
  • Ability to handle students with emotional difficulties; function as a member of department/clinical team; tolerate contact with residents under a variety of circumstances

Clinical Manager

Job Type: Full-time

The Clinical Director leads and coordinates the clinical services within residential treatment. Directly supervises Program Therapists, Case Managers, and contract services in psychology and other clinical services. Responsible for the leadership and management of the program, in collaboration with the Director of Clinical Services, and Medical Director.

Responsibilities:

  • Assess and evaluate program philosophy, goals, objectives, and treatment interventions implementing evidence-based strategies
  • Establish standards of practice for Program Therapists and Case Managers
  • Provide weekly clinical supervision for license eligible Program Therapists; document monthly supervision notes for licensed Program Therapists
  • Responsible for the documentation of individual, group, and family therapy sessions; family engagement notes and case management notes
  • Maintain and review departmental position descriptions, clinical policies and procedures, and regulatory standards annually
  • Manage department budget and FTEs; ensure coverage for Program Therapists on leave

Requirements:

  • Master's degree in Social Work, Psychology, Counseling, or related field; must provide transcripts from the accredited institution upon hire
  • Minimum five (5) years’ experience in mental health, behavioral health, group home, or other similar environment; progressive supervisory experience, with a minimum of two years leadership experience preferred

Evening Program Supervisor

Job Type: Full-time

Under the direction of the Program Director/Manager, the Program Supervisor assists in overall management of the facility from 3:00pm – 11:30pm. Assist in maintaining a supervision and meeting structure that allows for assessment, planning implementation and evaluation of the residential program to ensure comprehensive services are family driven, youth guided, and culturally competent to sustain positive outcomes.

Essential Functions:

  • Demonstrates the ability to communicate the facility’s mission, vision, values, and strategic plan, as well as departmental/service goals, to all staff.
  • Provides leadership and guidance to staff in goal setting, problem solving, resource management, outcome achievement, and development and implementation of policies and procedures.
  • Defines performance objectives and measures for the department/service and assesses the level of competency of staff in a timely manner, including completion of facility-wide and department/service orientation and ongoing education, including training, in-services, and other activities.

LPN (Licensed Practical Nurse)

  • Record resident’s medical history accurately
  • Observe residents under treatment to identify progress, side-effects of medications etc.
  • Clean and dress wounds and assist with other basic medical care tasks, administer injections and prescribed medications, when needed/directed

Maintenance Technician

Job Type: Full-time

Under general supervision, performs a variety of duties including: general facility maintenance and security tasks, painting, basic carpentry, maintenance of facility keys and locks, completing work orders in a timely fashion (meeting compliance standards), and documenting reports, etc.

Essential Functions:

  • Assist with basic rough and finished carpentry work in construction and repair of structures
  • Replace windows and door hardware, removing broken glass, putty, or plastic when necessary
  • Assist with electrical installation and repair work in wiring for switches, outlets, plugs, cables, power circuits, lighting systems and appliances
  • Repair basic plumbing including leaks or breaks; opening clogged lines and drains
  • Prepare various surfaces for paint, enamel, lacquer, varnish, or stain, repair wall coverings

Music Therapist

The Music Therapist encourages and assists residents to explore the world of sound while creating a musical language of their own. The Music Therapist will be responsible for coordinating special events and holiday scheduled programs as assigned.

Requirements:

  • Bachelors in music therapy.
  • Certification by the CBMT is preferred.

Overnight Registered Nurse (RN)

Under general supervision of the HR Director, the Receptionist acts as first contact for all visitors, issuing visitor badges as appropriate, directing visitors, and advising them of facility procedures/rules. Maintain lobby area, assuring there are daily newspaper and magazines available, and the coffee station is fully stocked. Answers all incoming calls, pages clinicians and staff, maintains appropriate notices to staff and residents via the intercom system.

Duties:

  • Page staff and clinicians as deemed appropriate and/or as requested
  • Overhead page (using intercom system) in the event of emergency/codes notices
  • Connect all resident calls to appropriate resident phone after verifying caller on approved list
  • Ensure all visitors sign in on appropriate confidentiality sign-in log; distributes visitor badges, and ensures any visitor going to unit is on approved list
  • Maintain current logbooks for all functions requiring tracking, i.e. keys, vehicles, sign-out, cabs, Executive Dining Room, etc.
  • Maintains meal ticket box for sale of meal tickets.

Payroll Coordinator

We are accepting applications for a Payroll Coordinator; this one-person department is responsible for the following: process payroll transactions and timesheets, update payroll records, and answer employee questions about pay, while maintaining compliance according to federal and state regulatory agencies. To succeed in this role, you should have outstanding analytical and numerical skills, and excellent attention to detail.

Responsibilities:

  • Process timesheet records and other employee pay documents (i.e. pay logs, PTO/Sick leave requests, and reimbursements)
  • Check payroll information for accuracy and ensure all relevant paperwork is in order
  • Coordinate with HR about changes in payroll (i.e. terminations, new hires, promotions, etc.)
  • Oversee payroll distribution of direct deposits, and mailed paystubs

  • Develop safe, professional, and comprehensive yoga training program for the residents and staff; perform yoga postures, as well as breathing and relaxation techniques in front of the class as they copy the movements; observe participants and inform them of corrective measures necessary for skill improvement
  • Study the physical limitations of the participants to effectively assign appropriate exercises to ensure their safety; observe participants and inform them of corrective measures necessary for skill improvement.
  • Provide pre-class instructions, explain the goals of class, and have a clear plan for maximum therapeutic benefits
  • Explain heart rate essentials, teach students how to take heart rate and administer a heart rate test when appropriate; offer alternatives during classes to accommodate different levels of fitness

  • Actively engage residents in scheduled program activities

Job Functions:

  • Be able to engage with residents physically, cognitively, and emotionally with compassion and authority
  • Capable of continuously monitoring the safety of residents and intervening as needed
  • Able to de-escalate situations of conflict and intervene as trained in crisis situations
  • Meeting with young people to identify and discuss their problems
  • Proving support and advice in an on-on-one or small group setting
  • Assessing risks and providing crisis counseling to young people experiencing trauma
  • Acting as an advocate and advising the treatment team of potential residential issues
  • Organizing and supervising group activities including sports and recreation
  • Writing reports and progress/treatment notes of observations and engagements with residents
  • Mentoring and being a role-model for social development
  • Providing direct living skills and personal care training

Competencies:

  • Experience working with children preferred not required
  • Willing to undergo a background check and drug screening in accordance with local laws and regulations
  • Mature individuals who demonstrate authority with caring and respect for the dignity of young people
